Job Title: Property Administrator
Department: EasyProperties
Reporting to: Portfolio Manager
Description of role:
As a Property Administrator, you will be responsible for managing and coordinating various administrative tasks related to the management of our properties, including tasks related to the effective and efficient maintenance and marketing of properties within the portfolio.
In this role you will be required to:
Maintenance work
• Responsible for all property maintenance and repairs. Receives, organises, directs and co-ordinates repairs and maintenance jobs on all properties.
• Follows up on maintenance completion times to ensure that work is completed on time.
• Initiate, monitor and co-ordinate preventative maintenance programs across all properties.
• Obtain quotations from contractors and get sign off on approved quotations before contractor work is done.
• Inspect work of contractors before signing off on invoices is obtained.
• Tenant liaison on maintenance queries
• Contractor liaison on quotations and payments
Inspections
• Coordinate entry, exit and interim inspections for the properties on the Red Rabbit system
• Maintain and file inspection records on the Rental Drive.
Reporting
• Provide weekly and monthly updates to the Portfolio Manager on the maintenance schedule.
• Prepare and maintain daily, weekly and monthly maintenance reports using the Red Rabbit system with data indicating number of jobs logged, closed, dropped, and completed.
• Maintain and file all maintenance quotations and invoices, property snag documents and warranty documents on the Rental Drive.
• Maintain the asset register - spare keys, tools, etc.

Municipal Accounts
• Facilitating the opening municipal accounts for each property investment.
• Receiving and downloading monthly municipal statements to be uploaded to the Weconnectu system.
• Reviewing and reconciling municipal payments prior to submission to the finance department.
• Submitting municipal charges to the finance department for payment. Lease administration
• Handle application procedures including credit checks, employment verification prior to approval by the portfolio manager.
• Provide general assistance within the department as needed.
EasyProperties admin (non rental related)
• Filing various documents on stat legal
• Preparing letters for prospectus submission
• Preparing resolutions and power of attorney for new SPVs
• Manage annual valuations for various properties
• Update the EasyProperties platform and weconnectu system with new unit values and documents
Payment administration
• Receives invoices, loads payments and obtain Portfolio Manager’s approval before sending to finance for payment

• Computer literacy
• An understanding of property management
• 3-5 years property administration and maintenance experience
• Experience in property marketing and working on property advertising portals
• Relevant diploma is an added advantage
• Experience with working on Red Rabbit is desirable
• Experience with working on Fusion is desirable
